Cancellation & Payments Policy
Effective Date: April 2025
At Smiley Squad Dental, we understand that family life can be unpredictable. As a mobile dental service, our appointment schedules, staffing and travel are carefully planned in advance. This policy helps us operate fairly while ensuring we can continue to provide care to all patients.
1. Appointment Confirmation & Payments
To secure an appointment, payment or a deposit (as advised at the time of booking) must be received by the stated due date.
If payment is not received by this time:
The appointment may be released to another patient, and
Dental services may not be provided on the scheduled day.
2. Cancellations and Refunds
Once an appointment has been confirmed, the allocated time is reserved exclusively for your child.
As a general rule, payments are non-refundable.
However, we may consider a partial refund or reschedule in limited circumstances, including:
Where a valid medical certificate confirms the child was unfit to attend on the day; or
Where treatment could not reasonably proceed due to the child’s distress, inability to cooperate, or clinical concerns identified at the appointment.
Any refund or reschedule is offered at Smiley Squad Dental’s discretion and is not guaranteed.
3. Short-Notice Cancellations
If an appointment is cancelled with less than 48 hours’ notice, the payment or deposit will generally be forfeited.
This fee:
Reflects the costs associated with staff, travel and lost appointment time; and
Is not claimable through Medicare or private health insurance.
Where exceptional circumstances apply (such as sudden illness supported by documentation), we may offer a rescheduled appointment instead of a refund.
4. Failure to Attend
If a patient does not attend their appointment without notice, the full appointment fee may be charged and future bookings may require prepayment.
5. Late Arrivals
We do our best to run to schedule, however delays can occur due to the nature of dental care and working with children.
If we are running late, we will notify you as soon as reasonably possible.
If you are running late, please contact us promptly so we can adjust the schedule where possible.
Arriving more than 15 minutes late may result in:
A shortened appointment, or
Cancellation of the appointment, with the applicable cancellation fee applying.
This is to avoid disruptions for other patients scheduled that day.
6. Changes Initiated by Smiley Squad Dental
In rare cases, we may need to reschedule an appointment due to unforeseen circumstances (such as illness, equipment issues or safety concerns). If this occurs, we will:
Notify you as soon as possible, and
Offer a rescheduled appointment or refund where appropriate.
7. Consumer Law
Nothing in this policy limits your rights under the Australian Consumer Law. If services cannot be provided due to reasons within our control, you may be entitled to a refund or alternative arrangement.
